What we collect, which is very little
Privacy policy
The free version of CrateOrganizer does not send us anything at all. This page explains exactly what changes when you buy a Pro licence, and what this website records.
Last updated 19 August 2026
The short version
- The free app works entirely offline and sends us nothing.
- Your music, your folder names, your crates and your track metadata never leave your computer. We never see them.
- If you buy Pro, we store your name, your email address, your licence key, and enough about each computer to enforce the activation limit.
- Payment is handled by Stripe. Card details never reach us.
- We do not sell or share your information, and we do not run advertising trackers.
The free app
The syncing features make no network connections. They read your music folders and your Serato library from your own disk and write crate files back to it. No file list, no folder name, no track, no tag and no statistic is transmitted anywhere.
Buying a Pro licence
Checkout is handled by Stripe, which collects your payment details directly. We never receive or store your full card number. Stripe passes us your email address and name so that we can issue and send your licence key. Stripe handles your data under its own privacy policy.
When a purchase completes we store the licence key, your name and email address, the plan purchased, a reference to the order, and the date it was created.
Activating Pro on a computer
When you activate, validate or deactivate a licence, the app contacts our licence server and sends:
- Your licence key, so we know which licence it is.
- A machine identifier. A one-way SHA-256 hash of an identifier Windows already stores, truncated. It cannot be reversed to identify you, your computer or your location. It exists only so the same computer is recognised on a later check, and so a licence is not activated on more machines than it allows.
- Your computer name, as Windows reports it, so that you can tell your own activations apart. If your computer name contains your own name, that is what we will see; rename it in Windows before activating if you would rather we did not.
- The version of the app, so we can tell whether a reported problem is already fixed.
We record the first and last time each activation checked in. We do not build a profile from these checks.
Once activated, the app re-checks only occasionally. If it cannot reach us it carries on working for weeks; a network failure never downgrades a paid licence.
This website
The site runs on WordPress. Our host keeps standard server logs, which include IP addresses, for security and troubleshooting, and those are discarded on the host normal schedule. The site is served through Cloudflare, which processes requests on our behalf.
We do not run advertising or cross-site tracking, and we do not sell data to anyone.
How long we keep things
Licence records are kept for as long as the licence exists, because a lifetime licence has to stay verifiable for its lifetime, and because we may need them for tax and accounting purposes. Activation records are kept while the activation is live and cleared when a slot is released or the licence ends.
Your rights
Depending on where you live, you may have the right to ask for a copy of the personal information we hold about you, to have it corrected, to have it deleted, or to object to how we use it. Ask through the contact page and we will deal with it.
Deleting your licence record ends the licence, because the record is what makes it work. We will say so before doing it.
Children
CrateOrganizer is not directed at children and we do not knowingly collect information from anyone under 16.
Changes
If this policy changes we will update it here and change the date at the top. If a change is significant we will say so rather than quietly editing the page.
